Procedures
Cancellation of Camp Orders
If you wish to cancel your order, you could do so yourself. Please log in to your account, go to Registration Management and cancel your order.
Please note that we cannot cancel your orders on your behalf.
The date of cancellation will be the date of request received.
After you submit a cancellation request, it will be placed in a tentative status. Only after our Customer Support confirms the request and processes the cancellation will the cancellation be shown on the Registration Management page.
How to Cancel Your Order
- Log into your account
- Click Registration Management on page top
- Click the View/Change button on the right end of the session currently registered
- Click Cancel Order, add reason of cancellation and send the request
Refund
The camp fee will be refunded to the credit card used at the time of camp registration and payment. Please note that the following cancellation terms will be applied according to the date the cancellation.
Camp cancellation fees:
Cancellation 20 to 8 days prior to camp start date: 20% of the tour price
Cancellation 7 to 2 days prior to camp start date: 30% of the tour price
Cancellation 1 day prior to camp start date: 40% of the tour price
Cancellation on the camp start date before check-in time: 50% of the tour price
Cancellation without notice or after camp check-in time: 100% of the tour price
(Cancellation charge will be applied to the whole tour price, including optional fees.)
Cancellations will be processed within 10 business days. The actual timing of refund to your credit card depends on your credit card company’s policy. Mirai no Mori donations will not be refundable.
Order Change
Please log in to your account, go to Registration Management and make changes to your order.
Please note that we cannot change your orders on your behalf.
- Deadline to change order: 6 days before camp starts
- Within 5 days before camp starts: contact Customer Support. Please that we might not be able to accept last-minute requests.
Changes you can make:
- Meeting/dispersal locations
 Ex. Change Tokyo meetup/dispersal to Campsite meetup/dispersal
 * A discount of 7,000 yen will be applied only when you choose both meetup and dispersal at campsite.
- Add or cancel options
 Ex. Add/cancel ski wear rental
- Change session (schedule)
 * Only possible for Summer camp and Winter Camp when multiple sessions are held.
How to Make Changes to Your Order
- Log into your account
- Click Registration Management on page top
- Click the View/Change button on the right end of the session currently registered
- Click the Edit Registrations button located next to the registered camper
- Make changes, check the total payment, and click Pay and Save Order Edits
- If changing or adding options results in an additional fee, you will be directed to the credit card payment page. Please enter your credit card information, and click Pay XX yen and Save Order Edits to complete the process.
- After the changes are made, you will receive an email with the subject line “Order Options Changed.”
Waiting List
If the session you wish to join is full, you could be on the Waiting List.
How to Join the Waiting List
- Choose a session on the Calendar and Availability
- Click the Join the Waiting List button next to the session
- Enter your email address and send
Notification
- When a spot becomes available, we will notify you at the email address you have registered.
- Please note that the session might become full again shortly, since we notify you and other customers on the waiting list. We recommend you make your booking on your own as soon as possible.
